Standards for Transferring Records
- No pendaflex / hanging folders are to be transferred.
- No binders are to be transferred.
- Records in binders must be moved to labeled file folders.
- Records must be foldered in labeled file folders.
- A detailed listing of the file folder headings in each box must be
provided.
- No publications are to be transferred without reviewing the criteria with
Records Management or the Archives and History Office.
- Multiple copies of materials within an accession will not be accepted.
- Sets of transparencies must be replaced with paper. If the informational
or intrinsic value of color transparencies is impaired by copying onto paper,
the originals will be accepted.
- Only reference materials containing annotations by SLAC scientists, with
significant research value which support permanent original records, and are
interfiled with the permanent records will be considered for Records Center
storage.
- No floppy diskettes are to be transferred. Information on floppies should
either be submitted in hard copy, or arrangements should be made with the
Archives and History Office to submit the information electronically.
- Boxes are to be completely filled, with only enough room left to pull
files with ease. The last box of an accession may be less than full, but
excess space should be padded so the records remain upright.
- No mixed series are to be transferred. Records with different retentions
must be transferred in separate accessions. If in doubt, call Records
Management or Archives and History Office for clarification.
