What are Page Charges and Why do I Care?

Some journals request a publication or page charge fee to help offset the costs of disseminating your research results. These costs range from $20 to $150 per page. As part of our ongoing management and support of SLAC's scientific and technical information documents, Technical Information Services provides funding for publication and article fees associated with SLAC's written work. Note that costs for reprints, color printing, online materials, or non-electronic submission are charged to the author's department account.

If you have authored or co-authored a document using SLAC resources (as described in the Director's All-Hands memo) and have received a Page Charge Request Form from a journal, please contact InfoMedia Solutions.

 
Protecting Publishing Rights

To help SLAC meet its contractual obligations to DOE and ensure that both SLAC and its authors retain their publishing rights, it is important to follow these steps before submitting your manuscript or copyright forms to any publishing agency.

  1. Obtain a SLAC document number through the iDoc Online Registration System
  2. Submit a preprint copy of your document to InfoMedia.
  3. Bring your copyright agreement form to InfoMedia for processing (Bldg 40, Room 204)

Note: If needed, InfoMedia will delay the public release of any proprietary SLAC documents until after journal publication date.

 
Getting your Page Charges Paid by SLAC

Page Charge Only

Fill out the Page Charge/Reprint Order Form you received from the journal and send it to InfoMedia Solutions MS #68. Upon receipt, we process your order as follows.

  1. Verify SLAC and DOE publishing mandates have been met.
  2. Set up and submit payment requisition.
  3. Track order through the SLAC purchasing system.
  4. Approve payment through the SLAC accounting department.

Page Charges with Reprint Request

If you have a bill for page charges and would also like to order reprints, we can process this order for you. Simply include the number of reprint copies you would like along with a SLAC account number and send the completed form to InfoMedia Solutions MS#68. Upon receipt we process your order as follows.

  1. Verify SLAC and DOE publishing mandates have been met.
  2. Set up payment requisition.
  3. Obtain appropriate approver signatures.
  4. Track your purchase order through the SLAC purchasing system.
  5. Ensure order is complete.
  6. Notify you when your reprints arrive.
  7. Approve payment through the SLAC accounting department.

Reprint Request Only

If you would like to order reprints and there are no associated publication charges, you need to process the reprint order form through your regular departmental channels. Please mail two copies of the reprint to MS #82 for the SLAC Library and the Archives and History Office.

 
Getting your Page Charges Paid by 'Other' Funding Sources

Charging SLAC Group or Collaboration Account Numbers

In some cases, you as the author may have other funding sources you wish or are required to use to cover the publishing fees for your SLAC-related work. In these cases, InfoMedia is still required to review the order to ensure that SLAC's contract mandates have been met and that the appropriate publishing rights have been retained both for SLAC and the author. You can obtain this approval one of two ways:

  1. Forward your electronic requisition along with Page Charge/Reprint Form to InfoMedia (Sharon West) using the BIS electronic approval process after obtaining approval from the appropriate funding signatories or;
  2. Submit your Page Charge/Reprint Form to InfoMedia with appropriate charge numbers and name of approver and we will enter and track through the BIS system accordingly.

Charging Multiple Institutions

In cases where multiple institutions agree to split the publication fees, simply include the billing information for each institution on the page charge form with the percentage of the total fee each has agreed to pay. A requisition for SLAC's portion is processed and the remaining institutions need to submit payment for their share individually.
