SLAC Tuition Reimbursement Program

Applying for the SLAC Tuition Reimbursement Program

  • It is a certificate or degree program that must be job-related.
  • Stanford Training Assistance Program (STAP) funds may be used in conjunction with this program. STAP funds may be used to cover required textbooks for classes under this program.  Payments are approved by the Training & Organizational Development Office and then issued by SLAC Accounting.
  • Applicant must be a regular employee at SLAC, working a minimum of 50% time.
  • Requestor must submit a SLACTRP application to the Training & Organizational Development Office for approval. This application is reviewed by the appropriate Group Leader, Directorate and the Human Resources Director before the requestor is given approval to use these funds (can be up to 90% of the tuition cost or what it would be for a comparable degree program at one of the California State Universities).

Requesting Payment after Being Approved

After being approved for the program approval, the requestor may submit the SLAC Training Request Form with appropriate accompanying documentation for backup. The Training Office may authorize $800/yr in STAP funds as advance payment under this program

The remainder (up to 90% based on approved rate) of the total cost is reimbursed to the student upon completion of the course and presentation of both payment and grade documents to the Training Office. A SLAC Training System Request should be filled out to initiate a request these funds.

The Training Office submits a copy of the SLAC Training System request to Accounting highlighting the notation in the "Comments" section including (a copy is also kept in Training for verification of course completion):

  • Total Course Cost (including books, if applicable).
  • Times up to 90% payment under program.
  • Apply $800 STAP as advance payment.
  • Note remaining balance.
  • Sign and date.

The Training Office returns a marked-up copy of the STAP form to the requestor with a note to resubmit that form with their course completion documentation to the Training Office for final reimbursement processing.

When the requestor submits the marked-up form to the Training Office, the form will again be appropriately signed and highlighted with a note to Accounting to pay the remaining balance.

The Training Office will send the payment request to Accounting for reimbursement to the employee.

For advance payment of STAP, proof of satisfactory completion of the course is required; if proof is not provided, the employee must reimburse SLAC for the tuition.
