STA/Training Database


Which ES&H courses do I need to take? 
This will be determined when you and your supervisor complete the Job Hazards Analysis and Mitigation (JHAM) process.  Hazards identified through this process combined with your site access needs together determine what training you will be required to take. Training is then assigned through your STA. Your supervisor is responsible for making sure that your STA is complete and correct.

How do I chose if a course is Mandatory, Supervisor Required or Voluntary when assigning training in the STA?
When assigning training in the STA, one of the following requirement levels will need to be applied to the training assignment. Please use these definitions to assist you in determining the appropriate requirement level.

  • Mandatory - The employee is mandated by law, regulation, or SLAC policy to take this course.
  • Supervisor Required - The employee's job description does not require the class per laws, regulations or SLAC policy. However, the supervisor feels it is in the best interest of the employee to complete the training, and requires it. For example, an employee works in a noisy area, but their actual exposure is below the regulatory threshold which triggers the training requirement. The supervisor can require Hearing Conservation Course 222 at the “Supervisor Required” level. Supervisor Required courses carry the same obligation to complete as Mandatory courses.
  • Voluntary - The course is not mandated by regulations or required by the supervisor. However the employee wishes to take the course, and has their supervisor's approval.

I forgot what classes I signed up for; where can I check?
You can check the name and date of a class for which you have registered by using the Training Registrations Report. (Other ES&H Training Reports and instructions for them, are located on the Training Reports main page.)

How can I see if I received credit for a course?
Once you have completed a course, please allow up to 36 hours for the course to be credited to your training history. You can view your training history at any time by using the Training History Report.

I already took (course); why isn't it showing up in my training history?
Check to make sure you are viewing the correct report. 

To see if you have received credit for a course, you need to check your Training History. If you are looking at your training history, and the class isn't listed, please use the ES&H Training Support Form to resolve the problem. Please refer to our web page on Reporting Data Errors.

If you are looking at your SLAC Training Assessment (STA), and you took a class that you can't see listed there, that means the course wasn't assigned by your supervisor (or their designate like a department admin) to your STA. If the training is a requirement for your job, notify your supervisor about the missing course. Your supervisor is responsible for STA completion.  

What's an STA?
STA stands for "SLAC Training Assessment."  The STA is a tool used by supervisors to assign and track ES&H training for their employees. Training assignments are entered through an online form and stored in a database for each employee at SLAC. This allows SLAC to measure training compliance among employees and report on this quarterly to the DOE.  For more information, please see the STA web page.

How are STAs completed?
The STA is accessed through the STA Data Entry web site. The supervisor is responsible for the STAs of their direct reports. Though the supervisor has responsibility to insure STA completion for their employees, each department may appoint a different individual (such as a department admin) for the actual STA data entry.

How can I find out when training is next due
You can use the Training Due Dates report to generate a list of upcoming training you are required to take. 

Who is responsible for completing my training evaluation (STA)?
The supervisor is responsible for the STAs of their direct reports. Though the supervisor has responsibility to insure STA completion for their employees, each department may appoint a different individual (such as a department admin) for the actual STA data entry. Your supervisor should know who is doing that data entry for your group.

I took a course; why isn't it showing up in my STA?
If you took a class that you can't see listed in your STA, that means the course wasn't assigned by your supervisor (or their designate like a department admin) to your STA. Courses are not automatically added in your STA (except on rare occasions when a course may be globally added to all STAs to meet a regulatory compliance). If the training is a requirement for your job, notify your supervisor about the missing course. Your supervisor is responsible for STA completion and should see that the course is added.  

Why isn't my medical exam showing up on my training record?
To view your medical history, please use the Training History Report. Be sure to select the "Medical Entries Only" radio button in the Status box. 

  • If you do not see your medical data posted in your training history within 48 hours of completing your medical exam, please contact the Medical Department directly at Ext. 2281.
  • The Medical Department is responsible for all medical exam data. ESH Training receives regular data updates from the Medical Department and enters them into the database as they are received. 

Why doesn't one of my employees show up on the Monthly Supervisors' Report?
There are two reasons why an employee may not be showing up on a monthly report:

  • There is nothing to report on that employee because they are current on all classes and STA status.
  • The ESH Training database receives personnel data from the SLAC Institutional Database (SID). If there is a personnel error in SID it will be reflected in the Training Database. Changes to SID are made by notifying  Claudia Ransom in Human Resources. The change, once entered, will be automatically reflected in the ES&H training reports.

An employee that no longer reports to me, or has left SLAC, still shows up in my Monthly Supervisors' Report; can you remove that person?
The ESH Training database receives personnel data from the SLAC Institutional Database (SID).  Changes to SID are made by notifying  Claudia Ransom in Human Resources. The change, once entered, will be automatically reflected in the ES&H training reports.

I am a supervisor, why doesn't my name appear in the supervisor's list on any of the report query pages?
The ESH Training reports depend on personnel data in the SLAC Institutional Database (SID) to identify supervisors. All Supervisors that have at least one direct report should show up in the supervisor list on the training reports. If you fall into this category but still can't find your name on this list, you may need to contact Claudia Ransom in HR to verify that all your direct reports are properly identified as reporting to you.

I have people working for me that I am borrowing from another group. Their new JHAM identifies the need for training that is not on their STA. Can I modify their STAs since they are going to be working for me?
We can assign you special permissions to modify STAs of individuals in other groups that may be working for you. You will need to request this permission by sending an email to esh-training. We will email you a brief survey asking you why you need these permissions. Once you respond to the survey, we will be able to grant your request.

Why won't the SLAC registration tool let me sign up for a scheduled class?
In order to register for an ES&H class, you need to have the course assigned to you by your supervisor. This is intended to act as a pre-approval for ES&H training classes and to encourage STA completion.
