Training - Procedures for Trainers

Scheduling Classes:

  • ES&H Trainers - Please review the Training Class Schedule to make sure we have all of your scheduled classes listed!
  • Have you checked the waiting list for your course lately? You can do that here!

The Building 003 Reservation Calendar is available through Outlook. All training room reservations will need to be added to this Outlook calendar in order to insure the space is reserved.

Requesting to schedule an ES&H class:
Only members of the training team have permission to reserve the training room and schedule training sessions so we have created an email list just for submitting requests to schedule classes. The email list is "esh-training-schedule". This way you can be assured that everyone on the training team will receive notification of your scheduling request.


Viewing the Building 003 Training room Calendar:
Go to File > Open > Other User's Folder. Click on the "Name" button and in the pop up window select "003 ES&H Training Room". Hit the "OK" button and the "OK" button again on the original window. Once again the Calendar will display in the right hand pane of Outlook. This calendar should also be available to you under "Other Calendars" in your calendar view once you have accessed it.

To schedule a class:

  • Check the building 003 training room calendar to see if anything else is scheduled for the time/s you would like. (If your training session is to take place in a space other then the building 003 training room, please check the availability of that space with the appropriate administrator).
  • Send an email to esh-training-schedule with the course, course #, date/s time and place the class/es are to take place. You will receive a confirmation that the class has been added to the schedule.
    • We request a two week minimum scheduling notice for classes that will be listed in the SLAC Training Registration System. This is to give students adequate notice to plan on attending classes. If you create special classes to accommodate individual groups, they do not need to be entered in the registration system.
    • Please review all your class postings in the SLAC Training Registration System to verify that all the classes you plan on teaching are displayed there. We do make mistakes on occasion and sometimes sessions do not get listed.

    Waitlist:
    You should periodically check the waitlist to see if another class for your course needs to be scheduled. We like to see new classes scheduled once we have at least ten people on a waiting list. This is a general rule of thumb and classes should be assessed on an individual basis depending on critical need and frequency offered as well as number of students registered.
